Housing manages hotel accommodation as it is contracted: n rooms of one room type per night, pickup against that contract, and a rooming list. The module is optional, off by default, and enabled per event.

Model

Housing is four layers:

Hotels

Properties used for the event. Each hotel has its own room types.

Room types

Deluxe King, Twin — the unit of inventory. Not a physical room number.

Room blocks

A contract: n rooms of one room type per night, with rates as notes and pickup tracked against it.

Stays

One attendee’s reservation: hotel, room type, nights, hotel confirmation, check-in. The stays list is the rooming list.
Two rules apply throughout:
  • A room type is not a physical room. Inventory is a per-night count on a room type, like ticket capacity. If the hotel later assigns “Room 1208”, that number is an optional field on the stay. A reservation does not require it.
  • Contracted counts are a promise, not a hard stop. Exceeding a count is flagged so the contract can be renegotiated. It does not block a booking.

Enable the module

Housing is off by default. Opening Hotels, Room blocks, or Stays shows an enable screen. Enabling turns the module on for this event. Enabling is one-way and per event.

Setup order

Add the hotel

Create each contracted property on Hotels.

Add room types

On the hotel page, add the room types in the contract — Deluxe King, Twin — and how many guests each sleeps.

Record the room block

Create a room block per contract: hotel, room type, nightly contracted count, and rate.

Arrange stays

Place attendees with stays. Attribution to a block drives that block’s pickup.
Stays can be arranged without a room block. Blocks track contracts; they are not a prerequisite.

Elsewhere in the event

  • The attendee detail page includes a Housing section for that person’s stays.
  • Stay changes appear on the attendee’s activity timeline with the registration history.
  • Automations can run when a stay is confirmed by the hotel or a guest checks in.
  • The stays table exports to CSV. That file is the rooming list.

Rules

  • A stay does not require a room number.
  • Pickup and availability are derived from stays. They cannot be edited by hand.
  • Going over a contracted count is flagged, not blocked.
  • Rates and currency on blocks are contract notes. This module does not charge anyone.
  • Hotels, room types, and blocks archive; they are not deleted.
